These pages describe the necessary steps for manuscript submission.

To prepare and submit the final version of their papers to be included in the conference proceedings, the authors should perform ALL the subsequent activities:

Prepare the

  1. final manuscript

  2. printable version of the final manuscript (preferably a postscript file, or maybe camera-ready pages on paper)

  3. file of the abstract of the final manuscript

  4. copyright transfer form       IEEE copyright policy on electronic publication

  5. scanning charge form (if necessary)

  6. registration form

Send the
  1. printable version of the final manuscript (preferably a postscript file)

  2. electronic text of the abstract of the final manuscript

  3. copyright transfer form

  4. scanning charge form (if necessary)

  5. registration fee

  6. registration form


Preparation
  1. Prepare the the final version of the manuscript according to the guidelines given in the pages/files below. Please follow the guidelines carefully. There are some changes compared to former years, so please adjust your usual files. Such changes:

    • Conference information heading on the first page
    • Phone numbers in international standard form
    • Serif (Times or similar) fonts
    • No small caps in the first-order headings

    The guidelines are made available in the following formats:

    RTF file for printing on US letter paper   RTF file for printing on A4 paper   PDF file   HTML file

    For people using TeX, LaTeX style files are available.   Important hints for LateX users

    "Skeleton" files are also available for Word: for   US letter paper   and for   A4 paper.

    You can type your text into one of these files. The styles to be used are marked by text. Using the corresponding styles, a semi-automatic way of transforming your manuscript to Transactions submission form will be offered by the end of February.

    If you already have your manuscript half-ready in Word, we suggest to copy both the header and the text into the skeleton file, and set the appropriate styles. An alternative is to copy the whole skeleton file into your existing one, but then the proper setting of the margins is not assured, so you are on your own with it.

    When you think you are ready, please print your paper (please switch off any resizing in your printer driver, otherwise the sizes will be incorrect!) and carefully check the printout.

    Be aware that the final version of the papers in the camera-ready format given above MAY NOT EXCEED 6 PAGES. NO EXCEPTION IS ALLOWED.



  2. Generate the final printable version of the paper for the conference proceedings.

    • Electronic Version

      These guidelines allow to generate the electronic version of the final manuscript to be used for the proceedings.
      If you are able to generate the electronic version, you MUST NOT submit the printed version without direct request from the electronics editor, because this can generate confusion.

      HTML: the guidelines for the electronic version of the final paper, in the HTML format to be read and printed directly from your network browser.

      Please conform exactly to these guidelines in order to allow inclusion of your paper in the proceedings.

    • Printed Version

      If you are really not able to generate the electronic version of your paper as instructed above, you are allowed to submit a printed version. However, please try hard to generate the electronic version! Contact experts at your site or at the computer center of your institution/company.
      The printed version will be used for the printed proceedings and will be scanned for the CD-ROM proceedings. However, the quality of reproduction in the CD-ROM proceedings may result poor.

      Each paper submitted only as a printed version will be charged $20 per page to cover the additional expenses for scanning. To pay this surcharge, please read the instructions below. The paper will be included in the proceedings only if this mandatory surcharge has been paid.



  3. Prepare the electronic version of your abstract to be put both on the conference web site and in the CD-ROM proceedings, according to the following guidelines. For your convenience, the guidelines are given in the following format:

    HTML: the guidelines for the electronic abstract in the HTML format to be read and printed directly from your network browser.

    The text of the abstract must be included also in the final manuscript, with exactly the same wording.



  4. Fill in (and if it will be submitted by mail/fax, also sign, otherwise type your name in) the IEEE Copyright Transfer form. For your convenience, it is made available in the following formats:

    HTML: the form in the HTML format to be read and printed directly from your network browser.

    RTF: the form in rich text format (readable e. g. by Microsoft Word or FrameMaker), to be downloaded on your computer.



  5. Fill in and sign the Scanning Charge Form if you submit the printed version of your final manuscript. For your convenience, it is made available in the following formats:

    HTML: the form in the HTML format to be read and printed directly from your network browser.

    RTF: the form in rich text format (readable e. g. by Microsoft Word or FrameMaker), to be downloaded on your computer.



  6. Fill in the Registration Form. It is provided as an RTF file and as a PDF file.

Submission
  1. Send the final printable version of the final manuscript for inclusion in the proceedings by FEBRUARY 5, 2001 (HARD DEADLINE!), to the IMTC Conference Secretariat.

    • Electronic Version

      If you have been able to generate the electronic version of your manuscript, send it by ftp to the Conference Proceedings ftp site.

    • Printed Version

      If you are really not able to generate the electronic version of your paper, send the printed version by mail (fax is not acceptable!) by February 5, 2001, to the Local IMTC Conference Organizing Committee:

      If you are sending the printed version by mail, it must be received by the deadline given above. Mailing from outside Europe may take a long time: please consider using an express courier.

    Please do not submit both the electronic and the printed versions. Submit your manuscript by using only ONE of the two options.



  2. Submit the electronic version of your abstract by ftp to the Conference Proceedings ftp site by FEBRUARY 5, 2001.

    Submit only plain text.
    Please do not submit postscript, html, pdf or word files of the abstract.



  3. Send the signed Copyright Transfer Form by February 5, 2001, to the IMTC Conference Coordinator by email or mail or fax (email is also acceptable since the received file is taken as a statement coming from your email address - in this case, write your name in the place of the signature).

    Remind that your paper cannot be included in the conference proceedings without the signed IEEE Copyright Transfer form.

    If you are sending the the IEEE Copyright Transfer form by mail, it must be received by the deadline given above.



  4. If it is necessary (see above), send the signed Scanning Charge form by FEBRUARY 5, 2001, TOGETHER with your printed manuscript.

    If you are submitting only the printed version of your final manuscript, remind that your paper cannot be included in the conference proceedings without the signed Scanning Charge form.



  5. Send the Registration Fee or the proof of the initiated bank transfer by FEBRUARY 15, 2001 (this is the latest acceptable date for it to arrive) , to the IMTC Conference Coordinator. Be aware that without this, the paper cannot be included into the proceedings. The main reason for this rule (see the details below) is that unfortunately, without prepayment the number of no-show authors would be too high, jeopardizing the quality of the conference. With payment the chance of no-show is much lower.

    The ways of sending the registration fee are described in the Registration Form (look at it in PDF or in RTF).

    IMTC rule: "Submission of the manuscript implies the authors' willingness to register at the conference and present the paper(s). An accepted paper will be published in the proceedings only if the final version is accompanied by the registration form(s) and fee(s) for at least one of the authors (only full member or non-member fees will be allowed for this purpose) - no exceptions. One author registration will guarantee publication of up to two accepted papers; each additionally accepted paper associated with the same registration will be subject to a printing contribution of $50."

    If a student wants to publish a paper alone or with non-registering co-authors, the solution is that he pays an IEEE member or nonmember registration fee, and not just a student fee.
